How to use recall software

You might be thinking, “How can I use the same software that hospitals and firefighters use for emergencies to organize my sporting event?” Well, it’s quite simple. Let’s say you have booked a gymnasium and want to organize a basketball game with some of the most experienced players in the city. You already have the first step done since you already booked a place to play the game. Now what?

Create a registration form

Your next step is to create a web form where interested players can fill out their contact information. The content of the form is up to you, but feel free to include any extra information that you may want to know about each person. This could include things such as their years of experience or what teams they have played on in the past. After you’ve created the form, you need to advertise it as much as possible.

Recruit your players

After you’ve received a satisfactory number of submissions from your form, that’s where the recall software really starts to come into play. Recall is used to send out a mass recall message to a group of personnel. As an example, let’s say that you had 50 people sign up using your form and 35 met the criteria that you’re looking for. This is great and all, but most basketball teams only have about 10 players each. So, now that you have your group of available players, you can send out an email, SMS message, or phone call to all of them to create your teams. Even though all 35 people met the criteria, only the first 20 people to respond to the recall get to play in the game.

How to limit responses

There is a really neat feature within SimplyCast’s Recall software that will come in handy for a situation like this where only a certain number of players will get to play in the game.

In the software, you are able to set a maximum number of responders required for the recall. When the set maximum number of responders has been attained, the system automatically closes the response intake. This will avoid any confusion as any additional responders will be notified that the maximum limit of participants has been reached. SimplyCast’s recall software is actually able to send out a follow-up message saying that the maximum number has been reached.
